Registration Terms & Conditions

It is a condition of entry into the Lakes Entrance Running Festival, operated by Fit City Events, that all participants accept and agree to the following terms and conditions:

1. Registration, Acceptance & Refunds
1.1 The lead registrant accepts these terms on behalf of all participants included in the order.
1.2 Each participant must complete the registration form and submit full payment to confirm their entry.
1.3 All information provided during registration must be true and accurate; false or misleading details may result in cancellation without refund.
1.4 All payments must be made in Australian dollars (AUD).
1.5 Registrations are non-refundable except where Refund Protection was purchased at the time of registration and in accordance with that product’s conditions.
1.6 Deferrals:Deferrals are only available to participants who registered under the Gold Level Category.Eligible participants may defer their entry once, to the following year’s Lakes Entrance Running Festival.Deferral requests must be received in writing before 16 October 2026 at 12:00 PM (AEST).Deferrals cannot be transferred, exchanged for cash, or extended beyond one year.
1.7 Event Cancellation:
If the event is cancelled due to unforeseeable or uncontrollable circumstances (including, but not limited to, natural disasters, extreme weather, or government restrictions), registration fees are non-refundable.

2. Fitness to Participate, Responsibility & Conduct
2.1 Participants confirm they are physically fit, adequately trained, and medically able to complete their chosen event distance.
2.2 Participants take full responsibility for their health, wellbeing, and conduct throughout the event.
2.3 Participants consent to receive medical assistance or transport if deemed necessary by event staff or emergency services. Any costs incurred are the responsibility of the participant. Fit City Events strongly recommends ambulance cover.
2.4 Participants must follow all event rules, course signage, and directions from staff, volunteers, and emergency personnel.
2.5 Personal belongings are the sole responsibility of the participant. Fit City Events accepts no liability for loss or damage.
2.6 Participants must behave respectfully toward staff, volunteers, other participants, and the public. Any unsafe, abusive, or antisocial behaviour may result in removal from the event and exclusion from future Fit City Events activities.

3. Event Changes, Transfers & Modifications
3.1 Event Format Changes: Fit City Events reserves the right to modify event details — including course routes, schedules, distances, or venues — to ensure participant safety or comply with local authority directions.
3.2 Rescheduling: If the event is rescheduled due to unforeseen circumstances, registrations will automatically transfer to the new date. Refunds remain subject to Clauses 1.5 and 1.6.
3.3 Participant Transfers:A registered participant may transfer their entry to another person by completing the official transfer process through the event registration system.A $10 administration fee applies to all participant-to-participant transfers.The new participant must accept these Terms & Conditions to finalise the transfer.All participant transfers must be completed by the cut-off date listed in Clause 3.7.
3.4 Transferring to a Longer Distance: Participants upgrading to a longer distance must pay the price difference between the two distances, plus a $10 transfer fee.
3.5 Transferring to a Shorter Distance: Participants moving to a shorter distance must pay a $10 transfer fee. No refunds will be provided for any price difference.
3.6 Transfers into Sold-Out Events: Transfers into sold-out distances are not permitted under any circumstances.3.7 Transfer Cut-Off Date: All transfers (participant or distance) must be completed by 16 October 2026, at 12:00 PM (AEST). No transfers will be permitted after this time.

4. Waiver & Releases
4.1 Participants waive, release, and discharge Fit City Events, its staff, contractors, volunteers, sponsors, and associated organisations from any liability arising from participation in the event.
4.2 Participants acknowledge that Fit City Events is not liable for any injury, illness, loss, or death arising directly or indirectly from participation.
4.3 Participants grant Fit City Events a royalty-free, perpetual licence to use photos, videos, or other media featuring them for promotional and marketing purposes.
4.4 Participant email addresses may be shared with event sponsors only where consent has been provided.
4.5 Personal data will be securely stored and managed within Fit City Events’ approved platforms, including MailerLite, Race Roster, Jotform, and RaceResult, and used solely for communication relating to this and future Fit City Events.
4.6 Event photos will be made available for viewing and purchase through ExperiencePix or the appointed photography partner.

5. Limitation of Liability
5.1 Assumption of Risk: Participation in the Lakes Entrance Running Festival involves inherent risks, including physical exertion, injury, illness, and environmental hazards. By registering, participants voluntarily assume all associated risks.
5.2 Equipment Liability: Participants are responsible for any personal equipment or valuables brought to the event. Fit City Events is not liable for theft, loss, or damage.

6. Privacy & Data Use
6.1 Data Protection: Fit City Events complies with the Privacy Act 1988 (Cth) and is committed to protecting all personal data collected.
6.2 Use of Information: Personal information will be used for event registration, management, communication, and future marketing (where consented).
6.3 Third-Party Sharing: With participant consent, Fit City Events may share limited data (such as name or email address) with event partners and sponsors.
6.4 Data Retention: Data will be securely retained only for the duration necessary for event management and future communications, after which it will be deleted.

7. Code of Conduct & Environmental Responsibility
7.1 Safety Standards: Participants must adhere to all safety standards, including wearing appropriate footwear and visible clothing in low-light conditions if applicable.
7.2 Environmental Care: The Lakes Entrance precinct is a shared community space. Participants are expected to respect the environment, dispose of rubbish responsibly, and follow all event signage.
7.3 Community Courtesy: Participants should be mindful of residents, visitors, and wildlife throughout the event.
